Hosting the 2026 ILEA Star Awards: Behind the Scenes at Bavaria Downs

A Night Through the Lens of the Venue

There are events that feel beautiful, and then there are events that are unforgettable. 

 

The 2026 International Live Events Association (ILEA) Star Awards was unmistakably the latter. Hosted at Bavaria Downs, the evening brought together the Minneapolis–St. Paul event community for a night that felt elevated in every sense—immersive, layered, and intentionally designed from beginning to end. But what guests experienced was only part of the story. What made the night so remarkable was everything happening behind the scenes to bring it to life.

What the Star Awards Represent

Within the events industry, the ILEA Star Awards isn’t just another event. It’s one of those nights the entire industry looks forward to. A room full of planners, designers, creatives, and vendors who live for this kind of work, all coming together to celebrate it. And because of that, the standard is inherently higher. Every detail is considered, every transition matters, and the expectation isn’t simply to impress, but to create an experience that is truly immersive.

The Scale of Collaboration

What makes an event like this especially unique is the scale of collaboration required to execute it. Because the ILEA Star Awards is a sponsorship-driven event, it involves more than 100 vendors and partners, all contributing to the final vision. That level of collaboration requires significantly more communication and coordination.

 

Brittany Kehrer, Venue Director of Equestria West, was directly involved in bringing the event to life on-site. From her perspective, the scale of planning required is exponentially more complex than a typical wedding or corporate event. “An event of this magnitude takes twice (if not more) the number of planning meetings with the client than a wedding. We held multiple planning meetings and venue walkthroughs with all of the teams.”

A Night Designed in Layers

From the beginning, the vision for the night went far beyond a traditional awards ceremony. The goal was to create an experience that unfolded in layers—one that guided guests through a series of moments rather than keeping them in a single space. As Samantha Maroney, Senior Venue Sales Consultant at Bavaria Downs, shared, the evening was designed as a “true ‘reveal on reveal’ progression for guests.”

 

Bavaria Downs made that possible in a way few venues can. With multiple venues on one property, the evening became a progression. Guests began at Equestria West, moving through cocktail hour and into a fully transformed awards space. The main ballroom, draped entirely in red, immediately shifted the tone of the night: “a dramatic, high-impact shift in energy and environment.” 

 

Just when it felt as though the evening had reached its natural close, that sense of finality revealed itself to be entirely by design. Guests were then guided to their respective shuttles, expecting a return to the cities for a traditional after party—believing the night was winding down or transitioning into something familiar. Instead, they were transported to The Edward Anne Estate for an entirely unexpected second chapter. A new space, a new atmosphere, and a completely different energy that brought everything back up again!

 

Each transition shifted the energy in a way that felt intentional, almost cinematic, allowing the night to build on itself rather than plateau.

 

An experience like that only works if the space can support it, and that’s where Bavaria Downs really stands out.

Stella Luikart, Bavaria Downs’ Digital Marketing Specialist, who attended the event and captured content throughout the night, emphasized how the property itself plays a role in making something like this possible. With multiple venues on one property, Bavaria Downs allows for large-scale events to feel expansive while still maintaining a cohesive flow.

 

Guests weren’t just moving from room to room—they were moving through entirely different environments, each one feeling distinct, yet seamlessly connected to the overall experience. It’s what made the transition to the after party feel like a true surprise, rather than just a continuation.

Transforming the Space

That attention to detail is what allows for the kind of transformation seen throughout the night. Spaces that guests may have been familiar with felt entirely new, reimagined through design, lighting, and thoughtful layering.

 

The main ballroom at Equestria West, for example, was transformed so completely that it felt almost unrecognizable—proof of what can happen when creative partners are given the freedom to fully explore a vision. At The Edward Anne Estate, the experience shifted again, blending indoor and outdoor moments with unexpected elements that invited guests to engage with the space in a different way. It’s the kind of design that doesn’t just change how a space looks, but how it’s experienced.

The Details You Don’t See

Behind it all, Bavaria Downs’ role was part of a much larger ecosystem, supporting the overall flow of the event and contributing to the seamless integration of services that allowed the night to feel cohesive. Allie Dennstedt, Venue Director of The Edward Anne Estate, was closely involved in working alongside vendors and helping bring the event together across spaces. That meant adapting in real time, supporting design execution, and ensuring everything aligned with the overall experience. It’s a role that requires both flexibility and precision—and it doesn’t go unnoticed. As Stella reflected on the team’s work, “Allie and Brittany are truly powerhouses… executing every event they host to perfection.”

 

And often, what defines an event like this isn’t what’s most visible. It’s the details no one sees—the timing of transitions, the coordination required to move hundreds of guests effortlessly, the quiet problem-solving that ensures everything unfolds exactly as intended. These are the elements that don’t make it into photos, but ultimately shape the experience. Brittany noted that the physical execution alone required days of work. “This event took 2–3 days just to set up… and 1 day after the event to tear down.” Allie commented, “Something I really valued… was seeing our venues through a completely new lens.” Working alongside a wide range of creative partners pushed those spaces even further. “...hearing the different ideas and visions from wonderful vendors expanded my own view of what our spaces are capable of.”

A Night That Moves the Industry Forward

There wasn’t just one standout moment—there were many. The reveal of the red ballroom. The seamless shift to a second venue space without ever leaving the property. The transformation of The Edward Anne Estate ballroom into a high-energy, immersive afterparty. Each moment built on the last, creating a rhythm that carried through the entire evening. At its core, what made the Star Awards so successful was alignment. A clear vision, a venue that could support it, and a collective of creatives working toward something bigger than any individual contribution.

 

Events like this don’t just celebrate the work being done—they push it forward. They expand what feels possible within a space, within a timeline, within a collaboration, and remind everyone involved why this industry exists in the first place. They bring together teams who are willing to think bigger, design differently, and execute at a higher level. Because when it’s done well, it creates a truly immersive experience and it raises the standard for everything that comes after.
